Inventory Planning compares what sells with what you have and what is already on order, and suggests what to buy next. Nothing is ordered until a person approves it.
Who can use it
- Opening it needs Basic PO's or Basic Invoices.
- Saving a review, approving, skipping and the daily review need Basic PO's, and not View Only POs.
- Hide Part Costs hides the dollar total and the unit costs.
Where the numbers come from
- Active stocked items only.
- On hand is for the whole company: every location added together.
- Daily sales: customer and counter invoices, less returns, over the sales history (28 days unless you change it), whole days only - today's partial day is left out.
- Already ordered: open Basic and Special Request POs, what was requested less what was received.
- Safety stock comes from the item's safety stock attribute, else its inventory threshold. Lead time comes from the item's lead time attribute, else the default (7 days). Extra coverage is 7 days unless you change it. Each can be 1 to 365 days.
- Suggested = daily sales x (lead time + extra coverage) + safety stock, less on hand and already ordered; rounded up, never below zero, in the item's own unit. Days of cover = on hand / daily sales.
The page
- Tiles: items needing stock, items already ordered, suggested purchases (before freight and tax) and the sales history used.
- Planning assumptions: the three day settings, Refresh calculations, and the daily review.
- The purchasing review: search, category, and show the items that need stock or are already ordered (or every active item). Each row shows on hand and days of cover, daily sales, already ordered (with its POs), the suggested quantity (you can change it), the unit cost, and warnings: no inventory snapshot, little sales history, open Request POs to confirm, a vendor to verify, or the default lead time in use.
- It opens the latest saved review when there is one; Refresh calculations works it out again.
The summary
- "Explain priorities with Grok" (or the daily review, when "Include a daily Grok summary" is ticked) writes a short purchasing summary of the items that need stock.
- Grok is sent only item numbers, quantities (on hand, daily demand, already ordered, suggested), units and warnings: no costs, customers or employees. It is told to use only those facts, never invent quantities, prices, vendors or dates, and never say an order was placed.
- When nothing needs stock, the summary says so without AI. The summary's AI use shows on Auto Pilot usage.
Approving
- Tick the items, choose the receiving location, and press "Approve selected & create Request POs": one Basic Request PO per supplier. No inventory is received and no supplier email is sent; sending to the supplier and receiving stay separate steps.
- 1 to 100 items at a time. Approving works the numbers out again first, and refuses when inventory, sales, orders or item settings changed since the review, or when an item is missing its stock or vendor information.
- Skip leaves items out of this review; they may come back in the next one.
- The daily review saves a review every day. It never makes a PO.

On Today, the reorder card names the items to reorder and opens this page; it orders nothing. If this page opens an earlier saved review, refresh its calculations to see the card's figures.
