General Ledger - Go-live Check

Before you rely on the ledger, this page answers two questions: is it complete and current, and does it agree with the reports you already trust?

  • 1. Is the ledger complete and current? It checks that every record has been read, when the ledger was last brought up to date, the nightly update, open exceptions, money waiting in Suspense, Internal Clearing or Uncategorized Deposits, and that debits equal credits. Fix first means the ledger is not ready. Look means it is ready but something deserves a decision.
  • 2. Income statement. Your Adilas.biz income statement, run the way the ledger posts (by invoice date and receipt date, with the default cost of goods), beside the ledger. Each reason for a difference in net profit is listed with its amount, and Not explained should be 0.00.
  • 3. Balance sheet. Your balance sheet on a date, line by line, beside the ledger, with each line's reasons.

Why the numbers differ (on purpose)

  • Payroll: the ledger books gross pay and the employer's taxes. Today's report counts the net-pay checks.
  • Sales tax remitted, payroll tax deposits and owner draws go to the balance sheet in the ledger. Today's report counts them as expenses.
  • Discount lines and coupon payments are sales discounts in the ledger.
  • Freight and service lines on purchase orders stay in inventory as part of the cost.
  • Journal entries exist only in the ledger.

A difference that is not explained is worth a look. Start with the exceptions and the Review page, or ask your Adilas.biz contact (support@adilas.biz).
