General Ledger - Getting Started

The General Ledger is a full double-entry ledger that fills itself in from what you already do in Adilas.biz. Invoices, payments, purchase orders, expenses and receipts, deposits, paychecks and units each become a ledger entry with debits and credits. Nobody keys them twice.

Getting started

  • Bring the ledger up to date (the Home page). The first time, this reads every record the company has. After that it only changes what changed, and it is quick: about half a minute for 300,000 records.
  • Turn on the nightly update (Settings). The ledger then brings itself up to date every night, checking every record.
  • Run the Go-live check. It shows whether the ledger is complete and current, and compares it with the income statement and balance sheet you already use, with the reason for every difference.
  • Look at the Exceptions. They are records the ledger had to make a choice about, such as a payment with no money type. Each one says what the ledger did and what would fix it.

How it works

  • Change a record (an invoice, a payment) and the next update takes back its old entry and posts the new one. The history is kept: Find shows every version.
  • Nothing in your day-to-day screens changes. The ledger reads your records; it never changes them.
  • Journal entries are for what has no record of its own: accruals, depreciation, loans, corrections.
  • The ledger permission is Balance Sheet. Writing (journal entries, accounts, budgets, settings) also needs General Ledger - Journal Entries, Accounts & Budgets.
